Why Your CV Keeps Getting Rejected (And It's Not What You Think)

You spent hours on your CV. You tailored it, checked the spelling, fixed the formatting. You hit apply. Then nothing. Not even a rejection email. Just silence.

Before a recruiter sees your application, it almost certainly passes through an Applicant Tracking System. These are software platforms most mid-size and large employers use to manage application volume.

An ATS does not read your CV the way a person does. It parses the document, pulls out structured data, scores it against set criteria, and either passes it forward or drops it. No human involved.

Five reasons your CV gets filtered out

1. The keywords are wrong

ATS systems look for specific terms from the job description. If the employer wants a "Customer Success Manager" and your CV says "Client Relationship Executive," the system may not recognise the match even though the roles are identical.

The fix: use the exact language from the job description. If they write "stakeholder management," use that phrase. If they write "data analysis," do not substitute "analytical reporting." This is not keyword stuffing. It is using the words the system is listening for.

2. The formatting breaks parsing

Tables, columns, text boxes, headers, footers, and graphics all cause parsing failures. When the ATS cannot extract text from a formatted element, that information disappears from your application entirely.

A CV that looks polished to a human can be unreadable to a machine. The safest format is a clean single-column document, standard fonts, clear section headings, no visual embellishments.

3. The section headings are non-standard

ATS systems are trained to find sections labelled "Work Experience," "Education," and "Skills." If you have labelled yours "My Journey" or "What I Bring," the system may fail to categorise your information correctly. Use conventional headings.

4. Wrong file format

PDF is well-supported by most modern ATS platforms, but some older systems handle Word documents more reliably. Check whether the posting specifies a format. When there is no guidance, DOCX is the safer technical choice.

5. Generic content

Even when a CV passes the ATS filters, a human reviewer typically spends around six seconds on initial review. A CV that reads the same regardless of the role it is sent to will not hold attention. The top third, skills section, and bullet point emphasis should all reflect the specific language of the role you are applying for.

What a CV that works actually looks like

Not the most impressive-looking document. The one that:

  • Uses keywords from the job description in context, not just listed at the bottom
  • Has clean formatting with no tables and standard fonts
  • Opens with a summary that addresses this specific role
  • Quantifies achievements wherever possible, with actual numbers
  • Is adjusted for the role it is being sent for
